Starting state

Commercial property managers emailed the office weekly asking for maintenance histories on specific rooftop units. Coordinators pulled job notes from ServiceTitan, dug through techs' photo folders, and pasted everything into a PDF. Refrigerant logs lived in a separate compliance spreadsheet. Each request took 20–30 minutes.

Constraints

  • ServiceTitan had to remain the system of record for jobs and invoicing.
  • Equipment data needed to sync from completed jobs automatically — no double entry.
  • Property managers ranged from facility directors to building owners on iPads.

Approach

We mapped ServiceTitan's job and equipment API in week one, then shipped a read-only client portal in week three — one property, one roof, every unit visible. Refrigerant log entries synced from tech job notes via a tagging convention. Photo reports attached per asset, not per job.
